and the Khata Book

Many distributors and wholesalers in Pakistan still run on a register or a spreadsheet, and for a while that works. Here is what changes when you have retailers, order bookers, schemes and recovery, and when Excel is still the right answer.

When Excel or a khata book
is still fine

A small, simple business

If you have a handful of regular parties, one person entering the data, no field team and no company schemes, a khata book or a well-kept Excel sheet can do the job. It is free, it is familiar, and you control it completely. There is no reason to pay for software you do not need yet.

Four signs you have
outgrown the register

01
You have order bookers or a van
Field work needs approval, stock by vehicle and recovery tracking. A spreadsheet cannot give your team a login.
02
Retailers dispute their balance
If you cannot show a clean statement in one minute, the ledger is costing you money and trust.
03
Companies run T.O schemes
More than a few active schemes means manual calculation will eventually go wrong.
04
More than one person enters data
Two people and one file means conflicts, copies and lost changes.

You do not start from zero

Import your parties and products from an Excel or CSV file, match your columns to the fields, and review before saving. Enter each party's opening balance once, and the system keeps the running balance from then on. Reports can still be exported to CSV (from the Gold plan) if you like working in Excel.

Excel and khata book, answered

For a very small business with a few parties, one person entering data and no field team, Excel can be enough. It stops working well when several people need the same numbers, when stock and balances must update on every sale, or when you have order bookers, T.O schemes and recovery to track.
Yes. TajirBook has an import tool for parties and products. You upload your Excel or CSV file, match your columns to the fields, and review a preview before anything is saved. Each file can hold up to 1,000 rows.
You enter each party's opening balance once, and from then on the system keeps the running balance from invoices, payments and returns. You can keep the old book for reference.
No. Reports can be exported to CSV so you can still work with the numbers in Excel or Google Sheets if you like. CSV export is included from the Gold plan.
Most people already know how to make a bill. The screens follow the way a distributor works: choose a retailer, add products, save, print. Your 14-day free trial is a safe way to test it with your own data.
Excel costs nothing in rupees, but it costs time, and mistakes cost money. TajirBook plans start at Rs 500 per month after a 14-day free trial. See the pricing page for every plan.
